Membership Proposal 20170206 Camera Policy Change
As proposed in the last member meeting, I, Tony Slover- Machine Shop Zone Coordinator, requested a change to the standing rule, “5. Request to view historical footage”.

Current policy
5. Request to view historical footage
- A member (or members) may request to view historical video by contacting the Board of Directors
- Footage may be viewed when approved by and accompanied by two members from the Board of Directors
- An approved request will be posted to the mailing list by the Board of Directors, including the requesting member(s) and specifics of the footage requested.
- Any viewed historical video will be specially saved for at least 180 days. Information from the viewing will be distributed to appropriate members as deemed necessary by the requesting member(s) only.
Requested revision to policy: To include zone coordinators, member advocates and officers. The policy would be represented by requiring two members review the footage, with one member being required to be a board member and the other can be a board member, a member advocate, zone coordinator or officer.
Problems with current policy
As a community space and an entirely volunteer organization, this policy offers challenges for a multitude of reasons outlined below.
- Timeliness – The 8 board members have a variety of obligations which require their attention. Being that I3 is a volunteer organization, burdening 2 of only 8 within the orginzation with the responsibilty of video review runs the possibility of the requested review to completed in a timely manner. This revision would expand that somewhere around 30 people, and would ensure the completion of a video review request quickly and efficiently..
- Responsibility – A change in the policy will help expand the responsibilities of those that choose to take an expanded role in this organization. Along with expanding these member’s responsibilities, it will also ensure those that are the most familiar with a particular zone (and those active in that zone) are the ones providing input on the video reviewed. It will become less restrictive and empower zone coordinators to properly manage their zone, while keeping with the vision of I3 as a community organization
- Exclusiveness – With the review process being restricted to such a small group of individuals, which potentially reinforces member concerns about exclusivity, which is the opposite of community.
In summary,. This is not rule that should be changed for the sake of changing a rule. This change looks to help reinforce the values and goals of this organization while attempting to streamline the operations of I3 to those most familiar with it and engaged with it.
How will this impact I3
- Will improve the overall efficiency regarding the management of the different spaces and activities each zone
- Removes unnecessary burden from the Board of Directors
- Engages more of the members by spreading responsibilities
- Should be easy to implement
- Improves visibility on zones for the zone coordinators
- Will impact a minimal number of members in the community
This request for policy change is going out to all of the members for approval. I urge you to approve this process and to come to the member meeting to discuss.
