Hybrid Meeting Etiquette

  • Be excellent.
  • Attendance and voting can be found in the #meetings slack channel.
  • Please show up early if you are concerned about your audio.
  • If there is no one waiting to speak feel free to do so at the next opportunity.
  • If there is someone waiting to speak, please say that you are raising your hand in the google call chat. (This will be demonstrated)
  • Please refrain from other side conversations, these can be distracting for the rest of the meeting and make it difficult for the chair to keep track of what's going on.
  • If you're in the space remember that having a single person speaking at a time is helpful for those attending online.

  • It not needed to have a class that's more of a workshop doesn't require much prep, it's a colaborative discussion.
  • Jill is an elementary teacher coach and can help with guidance.

Proposal to combine Member Meeting and Open House

  • Proposal:
    • no more tours on Friday nights.
    • Have a member meeting every week, with open time afterward.
    • Encourage people to be there for the meeting. The meeting is part of the open house.
  • I've seen a few times in the past where we have trouble covering open houses on Fridays. I've also seen some difficulty in new members engaging with the social fabric of the space. I've experienced some of that myself. I'd like to propose something I saw at Hive13 when a member there: combining the member meeting and open house.
  • Hive13 does something like this. They hold their member meeting every Tuesday at 7:30 PM eastern time, preceded by leadership office hours and proceed by open hours. They have a hybrid structure for their meetings, so anyone can join virtually to see it in action if you wish.
  • Having new people see the community before the space is very helpful for seeing how the space works.
  • Is Hive13 also run largely by the members? - Yes
  • Paul A. Is this for both member and board meetings
    • Some many need to move or even be the same day.
  • Tomas B - Is the plans to only have tours with meetings?
    • Yes, so we want a meeting cadence that aligns with tours
  • We did have 2 meetings a month but dropped to 2.
    • Having more meetings means we need to do less at each one.
  • Generally someone is usually here to do tours.
  • What problem are we trying to solve?
    • People will be more involved with the space as everyone will get exposed to it.
  • Would there be too many people?
    • That would be a good one to have.
  • We moved away from more meetings because many members were very involved so we didn't need the extra meetings. As we've slipped to less involvement.
    • Not tied to any day of the week for.
    • More often doesn't.
  • New people don't get exposed, should we have a short meeting on Friday that's just show and tell.
    • We'd miss the business of running the space, which is important.
  • Every tour is a bit unique, should we have a more formalized set of topics to cover.
  • Both member an board meetings are already open to the public, so other that giving tours, we're not changing much.
  • Should we actually try this and see how it works rather than theorize what may or may not work?
  • Not everything needs to be at a meeting, there's a good deal of work to run them. It's a lot to ask.
    • Ideas and people are not the same. Attacking people vs ideas isn't an excellent way to handle thing.
    • Member operated maker spaces provide great joy. We all try to be here when we can, but we can't always be there.
  • Anyone should be able to propose ideas.
    • We should be able to discuss them. All of us have the same ability to propose.
    • It may be a challenge to get members to attend many meetings.
    • Should we try to do tours with other events.
  • Many spaces now have hybrid meetings, it's possible to look at others and see how they run things. It's useful to see how the social experiment works.

Commons Tables

  • Jeff Burdick (he/his) is interested in building working surfaces for the space, but he isn't interested in going alone. They're made from steel tubing and plywood. Here are some of the work surfaces Jeff's made for Hack.RVA with his friend Aubie Porr:

Mail

  • Paul Askins: Recently opened the mailbox to find postage from June. We need to standardize the mail system. Where to put it? How to check it? What to do with it. Show everyone where the key is. Do not use i3D's address for personal matters.
    • The mailbox key is to the left of the B side door.
    • Can we scan mail and email important stuff to the treasurer?
      • We can drop it in the box.
    • Adjust the template for the board meeting as a reminder to check? Yes.

Internet

  • Internet is $80 for 300MB and $100 for 1GB
    • The bottleneck is often at the source where it's limited and faster local service won't impact.
    • As the board is responsible for managing the budget with the Treasurer.
      • It's important to recognize that we still need to budget for zones.
      • Is this is needed for the media zone, should it come out of the media zone budget. This should be added to that list.

  • It seems possible that under the right conditions, rain water is entering the zone from a horizontal crack in the wall below the southern window, and/or a hole to the outside that used to have conduit in it. Seeking assistance for a fix.
    • We should look outside to see if there is something obvious to fix.

  • First meeting of the sewing room build and zone committee is Friday from 6-7pm. Committee currently is focused on the build, table construction and planning for setup, and to set zone rules. Room use already has a set written up on its wiki page, seeking feedback via committee participation. Once the zone is established, the committee works with the zone coordinator/chair to help the room with zone tasks. You don't need to be a committee member to help with build out.
  • Build out work day this week on Saturday January 11. Our focus will continue to be on the woodwork. Other tasks available depending on attendance and skill level. All are welcome, there is something for everyone!
